Position: Office Assistant-Department: Smart Renewable Energy Program (SREP)


Summary:

The Office Assistant will report to the Coordinator of the Smart Renewable Energy Program. The Office Assistant is responsible for clerical, reception, and a variety of administrative responsibilities.


Duties & Responsibilities:


• Phone reception for SREP

• Maintain messages and reception records

• Set up meetings and maintain SREP Calendar

• Minute taking and/or Recording for SREP Meetings

• Provide support and back up to other areas within the SREP Team as required.

• Perform a variety of administrative duties in support of the Business Development Office.

• Preparing Pay lists as required.

• Responsible for meeting logistics including;

Ø booking rooms,

Ø preparing all financial requirements of meetings,

Ø prepare agendas,

Ø ensure Managers have submitted reports,

• Process department payroll in an efficient manner,


Additional Responsibilities:

• Understands and adheres to all department policies and procedures,

• Will perform administrative support to the Coordinator in accomplishing their roles and responsibilities. This includes:

Ø Assists in the development and distribution of staff schedules

Ø Produce forms, schedules, and correspondence as required

Ø Completes confidential administrative services for the coordinator

Ø Produces and/ or assists in the production of all required internal and external reports, regularly review progress on standard department deliverables and takes appropriate action to ensure timely completion of all department tasks,

Ø Supports the Coordinator, and Business Development Senior Manager as needed in addressing any personnel matters within the department, Verifies and records department staff compliance with the departments administrative and financial policies and procedures, including travel expense claims and staff attendance reports,

Ø Prepare financial, expenditures and payment authorization forms, and administrative documents for authorization by the coordinator, such as cheque requisitions, purchase orders,



Knowledge and Abilities:


• Office Phone etiquette

• Ability to record meeting minutes

• Ability to take direction

• Ability to record accurate notes, and record keeping,

• Excellent oral and written communication skills, strong active listening skills,

• Proven planning, prioritizing, organizing and coordination skills,

• Excellent interpersonal skills with the ability to establish and maintain successful and effective relationships with a variety of internal and external contacts,

• Advanced computer skills and use of MS Office,

• Proven ability to maintain confidentiality at all times

• Clear Criminal Record Check

• Must Submit a Resume

• Ability to speak/and or understand the Cree language is considered an asset

• Wages: $16.50/hr
