POSITION: ADMINISTRATIVE ASSISTANT
DEPARTMENT: PEACEKEEPERS
SUMMARY
The Peacekeepers' Administrative Assistant oversees the daily administrative duties of the Security office and provides comprehensive administrative, clerical, financial and operational support to the manager and department. This position plays a key role in ensuring the efficient functioning of the department while maintaining confidentiality, compliance and professionalism.
DUTIES AND RESPONSIBILITIES
· Oversees the administration of the security office.
· Prioritize weekly tasks, maintain and organize workspace.
· Keep an inventory of office supplies.
· Report any operational concerns to your manager.
· Prepares all correspondents and pay lists for the manager.
· Prepares all payroll, payables, and wages for Samson Peacekeepers.
· Assist in duties during the day when required/operational, e.g., staff shortages and dispatch as needed
· Maintain incoming and outgoing mail.
· Maintain incoming and outgoing payables.
· Prepare and file all reports, personnel, correspondents, memos, letters, and incident reports
· Prepare the Peacekeepers' monthly shifts, coverage/ shortages.
· Assist the managers in maintaining the fiscal year budget.
· Provide statistical information and research when required.
· Data entry of all activities of the department.
· Data entry of peacekeepers' annual leaves, sick leaves, etc.
· Records management – filing.
· Maintain proper wage administration for shift work employees.
· Promotes a safe and healthy work environment for all staff and clients.
· Work in compliance with the Nipisihikopahk Employment Policy.
· Perform other related duties as assigned by the manager and senior manager.
· Ensure incident reports are followed by the proper authoritative personnel.
· Administrative Assistant will be required to sign an “Oath of Confidentiality.”
QUALIFICATIONS
· Minimum grade 12 of education or equivalent with clerical training.
· Must be punctual.
· Possess foundational computer knowledge, Microsoft Word, Microsoft Excel, PowerPoint, and Microsoft 360.
· Be of good character.
· Ability to handle crisis situations and high maintenance periods.
· Excellent communication and written skills.
· Understanding of the Cree language and culture.
· The applicant MUST submit a child intervention check and a Criminal Record Check. Must have a clear record.
· MUST submit a valid Class 5 Alberta Driver's License with application.
· Maybe subject to a drug test.
