Summary: We are seeking a highly organized and motivated Administrative Assistant to support daily office operations. The successful candidate will play a key role in ensuring efficient administrative processes while providing support to management and staff.
Duties:
➢ Will coordinate the department’s administrative activities in an effective, up-to-date, and accurate manner by:
➢ Maintaining physical and electronic filing systems, updating records, and managing office supply inventory.
➢ Managing calendars, scheduling appointments, arranging travel and organizing meetings and conferences.
➢ Record incoming and outgoing documents such as mail, etc.
➢ Creating, editing, and formatting documents, reports, memos, and recording meetings.
➢ Operates office equipment such as computers, fax machines, photocopiers, voice mail messaging systems and computer scanning equipment to complete department tasks
➢ Performs clerical functions such as preparing correspondence and receiving visitors,
➢ Maintains adequate office supplies for all department supplies used within the department
➢ Understands and adheres to all department policies and procedures,
➢ Will provide administrative and clerical support to the Manager in accomplishing their roles and responsibilities.
➢ Regularly reviews progress on standard department deliverables and takes appropriate action to ensure the timely completion of all department tasks
Required Organizational Skills
➔ Able to maintain strict confidentiality,
➔ Excellent people skills, must be able to communicate to sensitive issues tactfully,
➔ Proficient in office technology, including fax machines, copiers, scanners, and computer programming such as Microsoft Word, etc.
➔ Ability to work independently,
Education:
➔ Diploma or certificate in Office Administration or related field is an asset
➔ Experience working in a demanding position,
➔ Knowledge of the Cree language and culture,
➔ Excellent communication skills, written and oral, and strong computer skills,
➔ Facilitation skills will be an asset.
