Executive Director Secretary (EDS)
Position Summary: Reporting directly to the Executive Director, the EDS effectively organizes, schedules, and communicates agency meetings, appointments, and related business. The EDS also performs a range of administrative duties including secretarial and receptionist duties which include minute taking, report writing, record keeping and filing in alignment with FOIP Standards and Practices. The Executive Director Secretary will carry out the mandate of the Akamihk Child and Family Services Society, along with other duties as directed by the Executive Director.
Specific Responsibilities and Duties:
• Assist in the administrative duties as directed by the Executive Director
• Identify, assess, and inform the Executive Director of internal and external issues that affect the organization.
• Work closely and collaboratively with the Executive Director and Supervisors
• Organize meetings and assist in administrative duties as the Executive Director, Supervisors, and Board of Directors work to develop and implement a work plan and establish goals and objectives that will reflect the best interests of the children and families served.
• Ensuring all the Executive Director’s and the Board of Director’s expenses are completed and submitted to finance
• Ensures all accommodation and travel expenses are completed and submitted to finance for the Executive Director, ACFSS staff, and the Board of Directors.
• Prepares meeting materials for meetings as assigned by the Executive Director. Serves as recorder for assigned meetings, taking and transcribing minutes; assuring appropriate and accurate information/actions are recorded and minutes are distributed in a timely manner.
• Organizes and maintains electronic and hardcopy files. Manages and maintains records of minutes of all meetings.
• Ensure the Execuitve Directors’ filing is completed in a timely manner.
• Maintains the Executive Director’s appointment scheduled by planning and scheduling meetings, appointments, conferences, teleconferences, and travel.
• Announces the next Board meeting, publishes, and distributes the agenda to the Board of Director’s. Ensures proper notification is given of meetings as specified in the bylaws.
• Manages all Board meeting logistics including, but not limited to, booking of meeting rooms, technology set-up, arranging travel and pre-ordering meals.
• Performs other related duties as assigned by the Board.
• Must be able to take direction
• Work collaboratively and communicate effectively with all clients, coworkers, service providers, and community members
• Must Respect and have knowledge of the Maskwacis Cree Traditional Language and Culture
• Must maintain a high level of confidentiality
• Must be able to complete clear, concise, and accurate minutes.
• Must have knowledge of community resources
• Must know and adhere to the code of conduct and ethics of the organization
• Willing to attend training that pertains to job duties, as required by ACFSS Qualifications:
▪ Diploma or Certificate in Office or Business Administration, or equivalency.
▪ Minimum three (3) years working as an Administrative Assistant or equivalent.
▪ Training or certification in minute taking and record keeping.
