Administrative Assistant-Nipisihkopahk Iyinisiwin Trust Fund


Under the Direction of the Nipisihkopahk Iyinisiwin Trust Fund Coordinator, the “Administrative Assistant” performs a variety of complex, responsible and confidential secretarial and administrative duties. The position requires a thorough knowledge of organizational procedures and precedents. The Administrative Assistant will perform other related work as required.

Key responsibilities:

1. Application Support:

o Assist students in completing financial aid applications (e.g., funding applications, scholarships, grants, etc).

o Review and ensure all required documentation (e.g., enrollment verification) is complete and submitted on time.

o Assist in communicating with students and applicants about funding opportunities and deadlines.

2. Recordkeeping and Data Management:

o Maintain and update student records related to financial aid, including personal information, financial status, and eligibility.

o Enter and track funding disbursements and payments in databases or spreadsheets.

o Assist in preparing reports on funding status, applications, and disbursements.

3. Customer Service:

o Serve as the point of contact for students and Board of Directors regarding financial support inquiries.

o Answer questions and provide guidance on eligibility, deadlines, and processes related to funding.

o Ensure timely follow-up on any funding-related issues or concerns.

4. Processing and Documentation:

o Assist in the processing of financial aid applications and documentation.

o Verify eligibility criteria and assist in determining funding allocations.

o Maintain confidentiality and ensure compliance with privacy regulations.

5. Communication:

o Ensure community information is provided to the public for Awards night and any events with Nipisihkopahk Iyinisiwin Trust Fund.

6. Organizing Workshops and Information Sessions:

o Help organize workshops or information sessions on financial aid options, scholarship applications, and budgeting.

o Assist in preparing materials and resources for these events.

7. General Administrative Support:

o Handle scheduling, office correspondence, and other administrative duties as needed.

o Assist with preparing agendas, minutes for adoption and any reports required for Board of Director, Work Plan, Strategic Planning and/or Retreat Sessions.

o Assist with any travel arrangements required for staff and Board of Directors.

o Demonstrates proficiency of computers, programs, and knowledge of data systems related to the programs utilized.

o Any other clerical duties as outlined by the Coordinator.

8. Compliance and Policy Updates:

o Stay informed about changes in funding regulations, policies, and procedures.

This role requires a strong understanding of Nipisihkopahk Iyinisiwin Trust Fund processes, good communication skills, and the ability to manage sensitive information efficiently and professionally as well as staying informed about changes in funding regulations, policies, and procedures.

· Must have High School Diploma

· Must have a clear Criminal Record Check

· Must have reliable transportation

· Must be proficient in Microsoft Suite

· Must be punctual

· Must have some knowledge of database software

· Must have experience in minute taking
