The Office Manager acts as the information hub and first point of contact for the Ermineskin Education Trust Fund. In this diverse position, the Office Manager is expected to maintain an in-depth knowledge of policies and procedures of the Ermineskin Education Trust Fund (EETF) priorities to effectively manage timelines and coordinate the day-to-day EETF operations and funding schedules. This role reports directly to the EETF Board of Trustees Chairman. The Office Manager is resourceful, organized, and adaptable, and can effectively manage competing priorities. They are a skilled communicator who can distill complex information into easy-to-understand responses to stakeholder (Ermineskin membership) queries,and have a meticulous attention to detail. Most importantly, you thrive in a collaborative and team-oriented setting. Specific Responsibilities include but are not limited to: ● Main point of contact with schools, caregivers, administrators, and clients, regarding EETF programs and services ● Oversee and administer the incentives and awards as per EETF programs policy ● Support the implementation of EETF Policies/By-laws ● Managing local and nationwide communication projects within their budget and timeline allotted ● Writing, editing, and producing content for EETF communication materials (web, social media, briefs, brochures, presentations, etc.) ● Supporting EETF through effective public relations and reputation management ● Coordinating the distribution of communication materials to all Ermineskin Membership and relevant parties ● Providing guidance and mentorship to EETF Staff and Ermineskin Cree Nation (ECN) students ● Generate and provide monthly written reports to the EETF Board of Trustees as well as an overall general report for EETF Annual General Meeting. ● Coordinate board meetings, recording minutes, updating motion registry, and maintaining legal and financial documents ● Coordinate and manage special projects and events ● Assist the Finance Manager in the bookkeeping and financial management on a regular basis. ● Perform bank deposits as necessary. ● Maintain, revise, and update our various forms of communication ● Generate reporting and analyze data as required using excel documents, and/or other software as advised by the EETF Policies/By-laws ● Liaison with other ECN departments and outside agencies to establish programs, workshops, and engagement sessions for the purpose of promoting education for Ermineskin Cree Nation youth. Competencies specific for this role: ● Uphold and maintain a high level of Confidentiality ● Ability to handle highly sensitive issues with discretion, tact, and diplomacy ● Advanced critical thinking skills ● Strong attention to detail ● Ability to balance multiple, and sometimes competing priorities ● Comfortable dealing with difficult clients and stressful situations ● Excellent verbal and written communication skills ● Effective interpersonal and community relation skills ● Knowledge and Proficiency in content management, communications, and desktop publishing software programs and web services ● Valid Class 5 Driver’s License, clean abstracts (Vulnerable Sector Check/Intervention Record Check) Qualifications (Preferred): ● Post-Secondary Diploma/Degree in Business Administration or Management with a minimum of 2-3 years’ experience in a progressive administrative role ● Knowledgeable in MS Suite, including Excel and cloud accounting software (i.e. Sage), experience in bookkeeping is an asset ● Tech savvy in day to day computer use ● Strong Customer Service skills, including proven written and verbal communications skills is an asset. ● Willing to take appropriate training where necessary. Experience leading or collaborating with a team, as well as strong coaching and communication skills is crucial to the Ermineskin Education Trust Fund and Ermineskin Cree Nation cultures and traditions. Familiarity with the Maskwacis Cree language and culture is an asset. Ermineskin Cree Nation members will be considered a priority.
