Updated: JANUARY 10, 2023 Position(s) with Department and Closing Date: Description, Requirements and Qualifications: Archives Assistant with the Ermineskin Office Administration department CLOSING: January 25, 2023 Under the guidance of the Senior Clerk, the Archives assistant will be responsible for organizing files and assisting ECN staff with file retrieval. The position will be responsible for the duties outlined and assist the Senior Clerk in providing sound file management of the nation’s archival documents. Working Conditions: Archives assistant will work in environments that vary depending on the nature and the type of files they work with. They may work in storage rooms or warehouses. Duties:  Sort file boxes and documents by department and year while maintaining an inventory listing and its contents  Organize and maintain files so when staff make requests for them they can be easily located, obtained and used by ECN Staff.  Assist ECN staff with accessing and locating files.  Identify files that are valuable and recommend them for preservation (i.e. legal documents, original documents, etc.).  Assist the senior clerk in determining which documents to remain in storage or to be destroyed.  Identify and document the state of files when necessary (i.e. file is an original document or if document has mold on the surface).  Organize files according to the information contained in them  Maintain an inventory for all files.  Assist with the development of a classification system for the files, and assist with developing retention and disposition schedules for files.  Apply knowledge of legislation such as the Freedom of Information and Protection of Privacy Act and the Copyright laws. Personal Characteristics:  Ability to work independently with minimal supervision or as part of a team.  Good oral and written communication skills.  Good interpersonal skills and time management skills.  Interest in research, helping people, and preserving historical documents.  Knowledge and experience in numerical, geographical and alphabetical filing systems  Strong organizational and analytical skills  Physically able to lift heavy boxes weighing 20-30 lbs. Programmer with the Ermineskin Daycare department CLOSING: January 25, 2023 The person selected for this position must be professionally educated as a child care worker to oversee the Ermineskin Daycare Program. Must possess a level 3 diploma and First Aid Certification. Must be clear of any Criminal Convictions, as required by the Provincial Licensing Agency. This individual must be a fluent Cree speaker with a sensitive caring personality. The person should also have excellent interpersonal skills to enable him/her to communicate positively with both children and adults. These qualities will ensure the delivery of planned programs and will ensure the safety; wellbeing and appropriate development of each child in the Daycare. Applicant must be abstainer from Drugs & Alcohol. DUTIES AND RESPONSIBILITIES: Responsibilities will include, but not be limited to the following;  Planning, supervising and implementing the program’s for Ermineskin Daycare Centre. In accordance with the Center’s policies, philosophy, rules and regulations.  To ensure staff are incorporating and integrating the Cree language into their daily planning.  To assist staff with the planning of the weekly theme sheets based on the children’s interests, to be monitored and recorded on a daily basis.  Review all planned theme sheets prior to posting.  To plan field trips in advance and according to the themes, ensuring proper booking and transportation arrangements.  To be available to attend all field trips.  To assist and ensure that the room arrangements are appropriate for the development of each age levels specifies in the daycare licensing guidelines.  To evaluate the rooms on a weekly basis, to ensure all forms are correctly active e.g. Children attendance sign in/out signed by parent, staff signing in/out forms, daily information sheets etc. as specified in the daycare licensing guidelines.  To implement methods of establishing as a positive liaison with staff, parents and children.  To submit a list of supplies and materials needed to manage with a week’s notice.  To keep a daily log and submit a monthly report to management.  Submit a newsletter on a monthly basis.  Review the weekly menus prior to posting and assist with the planning of the weekly menu’s ensuring allergies are posted.  To be available as a childcare worker when necessary.  To be responsible in informing and meeting parents when child is experiencing difficulties and act as a liaison for the child in areas of child development where necessary.  To ensure medication forms are properly filled out and signed by the parent.  To be available to administer medication when necessary.  To assist within the nursing room during fire evacuation drills.  Attend all staff meetings, and set up room meetings with room supervisors.  Assisting in public relations events.  Participating in recommended training programs, conferences, courses and other aspects of professional growth.  Will be responsible with the program planning for the young mother’s.  To assist the staff with the ordered arrangement and décor combing, promoting the Cree curriculum materials within the children’s surroundings.  To assist the staff with the completion of the rating scale (ECERS) (ITERS) ensure the rating scale is done (4) times within the fiscal year and recorded.  To assist staff when required to guide the development of each child’s self-discipline and appropriate development behavior necessary to increase individual self-respect and respect for others in accordance to the discipline policy.  Must be willing to do overtime when necessary.  Updated Child Welfare Check & Criminal Record Check on a yearly basis. One (1) Early Child Development Worker Level 2 with the Ermineskin Daycare department CLOSING: January 25, 2023 The Supervisor/Childcare worker’s main responsibility is the wellbeing and safety for daycare children assigned under their care and is required to faithfully fulfill the implementation of the program, services and policies of the Ermineskin daycare. As a representative of the Ermineskin daycare the incumbent must demonstrate kindness, patience, and respect towards all community members in general, and particular towards those who are obtaining services from the daycare. This person must strictly adhere to the code of ethics established by the Ermineskin daycare centre and take an oath of confidentiality. The worker shall at all times be governed by the employment policy, and professionally prepared as a daycare worker of young children obtaining level 1, 2, 3, of early childhood development education and first-aid in childcare; able to meet the requirements of the licensing agency. This person must be a Cree speaker and should not have any criminal convictions. HOURS OF WORK: The days and hours of work are Monday to Friday with rotating shifts of 7:45 – 4:45, 8:00 – 5:00 p.m. 72 hrs. Bi-weekly. DUTIES AND RESPONSIBILITIES: The duties of the supervisor –childcare worker-childcare assistant include the following:  Assist in the administration of daycare policies, guidelines and procedures  Assist in the preparation of the calculation of children’s hours.  Supervise room childcare workers  Meet with parents and guardians and discuss children’s progress or incident and accidents reports.  Perform other duties that may be assign by the program coordinator and manger  Care for and supervise the wellbeing of the children at all times  Train level 1 co-workers, if they should be experiencing difficulties within children and program planning. BASIC ABILITIES NEEDED: The supervisor-child care worker-child care Assistant should have:  A warm sympathetic, friendly, personality. She must really enjoy being with children, Show it in her behavior and let children feel they can look to her for protection, help and sympathy  Self-confidence: the supervisor-child care worker must be able to give children the feeling that she knows what she is doing and for what reasons. Her self-confidence helps children feel secure with her. DEPENDABILITY & STABILITY:  Not only should the supervisor-childcare worker-childcare assistant understand her individual Responsibility for safeguarding, protecting and teaching children, but she must be able to use good judgment in emergencies and her reactions to an unusual behavior by children or colleagues. ABILITY TO ACCEPT SUPERVISION:  The supervisor – childcare worker-childcare assistant must be able to learn new concepts and know how and when to use what she has learned. She must be capable of accepting criticism undefensively and of continuing to experiment and willing to try new ideas without fear of failure. GOOD HEALTH:  The supervisor – childcare worker-childcare assistant must be in good physical and mental health, Keeping up physically and active children required vigorous activity and sharing the care of a child and realize that she cannot fulfill own emotional needs by becoming a rival with parents for child’s affection. JOB ROUTINES/DAILY:  Provides children programs schedules daily activities to create a balance between active and quiet play.  Report all accidents or emergencies related to the program  Assist children in their daily routine. MEALS & SNACKS:  Ensure that all staff are sitting down to eat with and supervising children during meals.  Good Manners are suggested; help is offered with children experiencing difficulties.  She does not force children to eat, but encourages them. DIAPER CHANGE & TOILET/HAND WASHING:  The supervisor – childcare worker – childcare assistant accompanies children, as they may need help.  She sets up schedule for taking the children at a few at a time.  She makes sure children learn good habits.  Ensure that co-workers are implementing the diapering and hand washing  Procedures at all times  She ensures that staff is encouraging children to hand wash at all times especially  After washrooms use. SLEEPING OR RESTING/QUIET TIME:  Supervisor-childcare worker – childcare assistant makes resting time a normal and pleasant part of the routine  The supervisor-childcare worker-childcare assistant does not force the child to sleep but she does not  Expect him/her to rest by rubbing his/her back or using other methods she may fine effective to encourage quiet time. I.e.) allow child to read quietly and sitting on the rest mat. Financial Analyst Project Accounting with the Ermineskin Finance department CLOSING: January 25, 2023 As the next step of restructuring of Finance Department, ECN is looking to fill a Financial Analyst – Project Accounting position. As the Department is evolving, the candidate is expected to be flexible to be assigned for a role that will be a close match of their skills and the Department’s need. Reports to: Finance In-Charge Duties and Responsibilities: 1 Design project and program accounting templates in Sage 300 by gathering necessary information from ECN departments 2 Ensure funding and budget allocations are up to date for all projects 3 Ensure accuracy of project and program transaction coding 4 Respond to requests for transactional and reporting detail from departments and senior management 5 Carry out periodic system maintenance of project accounting module 6 Forecasting project revenue and expenses for operational planning and budget reallocation purposes 7 Generate project and program level monthly financial reports 8 Compile information for internal and external auditors 9 Share relevant GL details to assist with various reporting requirements of department managers and directors 10 Work collaboratively with other departments to make to ensure all necessary budget adjustments are completed 11 Assist to prepare working papers and reconciliation of accounts 12 Be a contributing member to assist with internal audit and yearend audit 13 Actively participate in cross training activities to build a strong Finance team and foster growth opportunities 14 Be knowledgeable of ECN’s Custom Law, policies and procedures 15 Carry out all other duties as assigned by the supervisor 16 Must adhere to ECN policies, Custom Law, Constitution and Financial law. Manager with the Ermineskin Arena, Parks and Recreation department CLOSING: January 25, 2023 Under the direction of the Tribal Services Director, the Arena, Parks and Recreation Manager will oversee the management and the operations of the Arena, Parks and Recreation department. Reporting Structure: The Arena, Parks & Recreation Manager will report directly to the Tribal Services Director. The Arena Parks & Recreation department is a department under the Tribal Services Division. Job Duties: 1. Responsible for the entire operations and administration of the Arena, Parks and Recreation Department. 2. Management of the following areas: arena, parks, and recreation. 3. Responsible for the implementation of the Arena, Parks and Recreation strategic plan and its annual review, and other related Plans for the department. 4. Responsible for the supervision and the performance management of all staff including annual evaluations and training plans. 5. Demonstrate comprehensive compliance of and implementation of personnel policies, arena operating policy, recreation department policy, and all other applicable policies relevant to the operations, safety and management of the department. 6. Monitor and control department budget and assist with the preparation of the annual department budget. 8. Responsible for contracts and agreements that pertain to the department (i.e. arena refrigeration preventative maintenance contract, minor hockey agreement, etc.). 9. Ensure maintenance of the buildings and the parks. 10. Chair staff meetings and meetings relevant to the department. 11. Maintain positive and strong working partnerships with other departments, nations, agencies, or schools. 12. Attend meetings when requested (i.e. minor hockey meetings, community engagement meetings, budget meetings, HUB meetings, etc.). 13. Report to Chief and Council, and Administrator upon request. 14. Prepare quarterly department reports to the Director. 15. Responsible for engaging involvement with end users and address customer service related situations (i.e. obtaining feedback from program participants, ECN citizens, surveys etc.). 16. Perform other duties as assigned by the Tribal Services Director. Requirements:  University degree in a related discipline such as recreation, physical education or management is an asset.  Minimum of five (5) years of demonstrative management or supervisory experience.  Certification in Canadian Parks and Recreation Association Professional Development or equivalent is an asset.  Certification in arena management through the Alberta Association of Recreation Facility Personnel is an asset.  Demonstrative experience submitting grants and knowledge of grants in the area of recreation, arena or parks.  Excellent verbal and written skills.  Clean criminal record check including vulnerable sector check.  Child intervention record check.  Class 5 drivers’ license and a clean Drivers Abstract. Class 4 drivers’ license is an asset.  Basic Microsoft office computer experience and skill.  Interest or background in recreation and sports.  Exemplify planning, organizing, and leadership skills.  Well-developed interpersonal and leadership skills in dealing with staff, peers, and citizens.  Ability to be creative and adapt to change.  Able to work shifts, evenings and weekends.  Possess a current standard first aid and CPR certification.  Mandatory drug/alcohol testing.  Must have own transportation.  Knowledge of recreation trends and arena industry trends.  Knowledge and awareness of the Alberta Recreation and Parks Association and the Alberta Association of Recreation Facility Personnel.
